Virtual office in the US

A virtual office gives a US company a business address and a mail service. It is not the same as a registered agent address, though providers often sell both. The registered agent needs a real street address in the state: in Florida, for example, the registered agent must have a Florida street address, and P.O. boxes are not acceptable. A mailbox in one state does not replace that, nor does it make the company a resident of the state.

Ask a provider whether the address is a commercial mail receiving agency or a shared desk, how it scans and forwards post, what identity checks apply, whether banks have accepted the address from its clients, and what it costs to leave. Ask which address appears on public filings, because the company’s state record is public. Some banks and payment providers decline mail-forwarding addresses, so check before you rely on one. The US country guide lists the other details a company needs.

A virtual office is mentioned by 27 firms in the United States, 14 of them accounting firms and 13 corporate services providers. Non-resident founders and Spanish-speaking clients appear among their client groups, and English is the working language of 22 of them. E-commerce and Amazon sellers are among the sectors named. Each of Miami, New York, Houston, Dallas and Las Vegas has its own page.

Frequently asked questions

Is a virtual office the same as a registered agent address?

No. A registered agent needs a physical street address in the state of registration, and some states do not accept a P.O. box. A virtual office is a business address with mail handling. Ask a provider whether it supplies both and how it describes each.

Will a bank accept a virtual office address?

Some do and some do not. Banks and payment providers set their own rules, so ask the provider if clients have opened accounts with the address, and ask your chosen bank before you commit.

Can a virtual office make my company resident in a state?

No. The address alone does not create operations in a state. Where you do business, hire people or keep stock can, so ask a firm whether your activities create duties in another state.
