Virtual office in Poland

A virtual office gives a company a business address in a Polish city without a desk or lease. Providers typically offer an address for registration and correspondence, mail handling and forwarding, and sometimes meeting rooms and a phone line. For a founder abroad it is a way to have a presence in Warsaw or Krakow while the business is run remotely.

Before you sign, check three points. First, that the address can be used for the registers and for the tax office, and that the provider will confirm this in writing. Second, how post is handled: scanned, forwarded or collected, and whether official letters are treated differently. Third, the minimum term and the cost of leaving. A low headline price can come with extra charges for each letter or each meeting room hour, so ask for a full price list.

On a profile, look at the city of the office, the languages the provider handles and whether it also offers accounting or secretarial services, which many firms in this group do.

Accountanty lists 88 firms for virtual office services in Poland: 66 accounting firms, 19 corporate services providers and 3 law firms. Of the 88, 50 work in English and 19 in Russian. Browse the Warsaw page, or read how a provider fits into company formation in Poland.

Frequently asked questions

Can I register a Polish company at a virtual office address?

Many providers offer addresses for this purpose, but you should ask the provider to confirm in writing that the address is accepted for the registers and the tax office, and ask what happens if you move.

What happens to the post that arrives?

Providers usually scan or forward it, or hold it for collection. Ask how quickly letters from the authorities are passed on, because deadlines run from receipt, and whether each item costs extra.

Is a virtual office the same as a physical office?

No. It provides an address and services, not space you control. If your activity needs premises, for example to meet clients or store goods, you will need a lease on top of the address service.
