Payroll in Poland

Hiring a first employee in Poland turns a company into an employer, with its own registrations, monthly calculations and filings. Payroll services cover contracts of employment and civil-law contracts, payslips, withholding of income tax, social insurance contributions and the reports that go to the authorities each month.

A founder abroad usually wants three things from a payroll provider: that employees are paid on the right day, that the filings are on time and that someone explains the cost of each hire before the contract is signed. Ask whether the firm keeps payroll in-house or passes it to a partner, and what it needs from you each month, such as hours worked, leave and changes in pay.

Check the profile for the languages offered, since you will approve payroll runs in your own language, and for the entity types and industries the firm serves. A firm with staff in hospitality or construction will know shift and agency patterns that a bookkeeping practice may not.

Accountanty lists 245 firms for payroll in Poland: 225 accounting firms, 16 corporate services providers and 4 law firms. English is offered by 129 of them, Russian by 46 and Ukrainian by 38. See the Warsaw page for the largest group, or return to the country guide.

Frequently asked questions

What does a payroll provider do each month?

It calculates gross and net pay, deducts income tax and employee contributions, produces payslips and files the reports for the tax office and the social insurance institution. You supply hours, leave and changes in pay.

Can I employ someone in Poland without a company?

That depends on the arrangement, and the rules for employing staff through a foreign entity are strict. Ask a firm from the list to explain the options for your case before you make any offer.

Does the payroll firm also pay the employees?

Usually it prepares the payment file and you or your bank release the money, though some firms arrange it for you. Confirm this in the engagement letter, together with who is liable for late payment.
